We need to identify our customers and who their nominated emergency contact is to enable us to safely provide to you the services that you purchase from us. We also have to retain records of all our transactions for tax and accounting reasons.
What personal data will be collected and processed?
Depending on the type of transaction you enter into, this may include but not limited to your name, telephone number, email address and or photographs and videos. Boxmoor BJJ also reserves the right to collect details of your nominated emergency contact, as a legitimate interest and essential part of safeguarding; you should ensure that you have the permission of your emergency contact to pass on their details to us.
How will we collect, store and use your personal data?
We only collect your data by you providing it directly to us (for example by filling in forms or by sending us emails or messages via social media). Personal data of our customers will be stored electronically (for emails and social media messages, and on paper in the case of consent forms). This data will be used by us to deliver the services that you purchase from us. Members who sign up to a monthly membership will do so via TeamUp. How will we use photographs and videos?
Photos and videos may be used for marketing and advertising including but not limited to social media and website. Photos and video can be used in any manner as we require and in the format or media that we see fit. If you wish to have a photo removed or deleted, please contact us using the details provided.
Who has access to your personal data?
Access is given to our own team, all of whom are subject to confidentiality obligations, for purposes specified in this notice. If we are required to process your personal data for purposes other than those specified in this notice, we will notify you with the relevant information and, if necessary, seek your consent. We will not sell, distribute or lease your personal information to third parties unless we are required by law to do so.
How long will we keep your personal data?
We need to keep customer details for at least 6 full tax years under current UK tax laws. After that, until you ask us in writing to delete your personal data (excluding consent forms), we will keep it to enable us to contact you as mentioned earlier in this notice.
